Job Summary

Reporting to the Vice President, Touring and Artist Management (VPTAM), the Artist Liaison is responsible for the servicing of performance engagements for artists on the professional artist management roster and for providing administrative support for the VPTAM. The ideal individual will have the ability to exercise good judgment in a variety of situations and problem-solve under pressure; will be highly organized and detail-oriented; will have strong written and verbal communication skills; and will have the ability to simultaneously manage multiple priorities and projects. The ideal candidate will have schedule flexibility to work additional hours, be on-call, and occasionally travel on tour 

About the Touring and Artist Management Department

The Artist Liaison will serve as a key player in an expanding Touring and Artist Management department, which supports three primary artistic functions: artist management for a roster of professional artists (faculty and alumni), Curtis on Tour, and professional engagements for students and recent graduates. The department started its professional artist management initiative with the Dover Quartet in 2020 and continues to expand its roster of professional artists, which are all Curtis faculty or alumni. In addition to this new artist management function, the department continues to oversee Curtis on Tour, the Nina von Maltzahn global touring initiative. An integral component of a Curtis education and an embodiment of the school’s “learn by doing” philosophy, Curtis on Tour ensembles feature students, faculty, and alumni performing together.  

Job Responsibilities

Production/Logistics 
  • Coordinate travel and logistics for represented artist engagements, including but not limited to booking flights, ground transportation, and hotel accommodations; facilitating the processing of required artist visas; and coordinating with presenters regarding production requirements and logistical details.  
  • Keep up-to-date artist schedule and travel details in Overture database; generate itineraries; manage the dissemination of itineraries and the communication of engagement details with artists, presenters, and colleagues, as appropriate.  
  • Schedule artist interviews as requested by presenters and media outlets. 
  • Serve as the artist liaison and point-of-contact for recordings and special projects at Curtis. Work in close coordination with the media and production teams on scheduling, space reservations, and content capture needs. Deliver final content to relevant external parties. 
  • Provide on-call support after hours while artists are on tour to handle any unforeseen issues. 
  • Accompany musicians on assigned tours and engagements to manage travel and logistics, facilitate artist needs, coordinate with presenters, and administer all on-tour duties as needed.  
Programs and Promotion 
  • Work closely with presenters and artists to confirm performance repertoire for each engagement prior to the presenter’s announcement of the program; negotiate and confirm with presenters any program changes requested by artists. 
  • Generate program copy, distribute it to presenters, and provide approval of presenters’ materials before going to print. 
  • Facilitate the distribution of relevant marketing materials, media, and other promotional collateral to presenters, in close coordination with key internal colleagues. 
  • Regularly send updated concert lists to artist’s website manager and check concert listings on artists’ websites for accuracy. 
General and Administrative Support 
  • Be an ambassador for the Curtis Institute of Music when interacting with presenters, external partners, and audiences in person and by phone, email, or other communications. 
  • Prepare engagement contracts and riders for represented artist engagements; manage the sending, receiving, and tracking of all contracts. 
  • Collect relevant artist expenses and reimbursements; coordinate with the Manager of Touring Operations to prepare artist statements and payments. 
  • Provide general administrative support for the Vice President, Touring and Artist Management; maintain regular office hours and administer essential daily functions including the processing of mail, telephone, email communications. 
  • Perform other duties as assigned.  

Qualifications

  • Excellent administrative writing skills, communication skills, and attention to detail.  
  • Self-motivated and proactive worker with the ability to manage multiple project timelines and priorities.  
  • Experience with travel logistics and tour or concert production.  
  • Schedule flexibility to work additional hours and travel as required. Mature interpersonal skills and ability to handle sensitive, confidential situations and information with poise, tact, and diplomacy.  
  • Knowledge of and comfort working with a variety of computer software applications, including Microsoft 365 applications (i.e., Outlook, Word, Excel, PowerPoint, etc) and performing arts planning databases (i.e., Overture, OPAS, Asimut, or similar systems).  
  • Knowledge of classical music. 
  • A minimum of an associate’s degree in music management, marketing, or business.

Working Conditions/Physical Demands

  • Routine for office environment. Travel and night/weekend work occasionally required.  
  • Visa sponsorship is not available for this position. Applicants must be authorized to work in the United States for any employer at the time of hire. 
  • COVID-19 vaccination is a requirement for all positions at the Curtis Institute of Music and all new hires are expected to be fully vaccinated before beginning work

Compensation and Benefits

  • $50,000-$55,000 annual salary, commensurate with experience.
